Important MLS System Conversion
Information
Rapattoni MLS is coming! On June 1, 2004, the
Cape Cod & Islands Multiple Listing Service, Inc.
(CC&IMLS) proudly announced
the implementation of a new MLS system, Rapattoni
MLS, which will go live on Monday, July 12, 2004.
The CC&IMLS Task Force has been working diligently
in conjunction with Rapattoni Corporation to customize
Rapattoni MLS to the needs of the CC&IMLS
participants. CC&IMLS is very excited about presenting
the REALTORS® of CC&IMLS with a "cutting
edge" MLS system.
In the coming weeks, CC&IMLS will advise members of
new Rapattoni MLS system specifications
and will update members relative to MLS conversion preparations.
Additionally, CC&IMLS will be providing members with
information to assist in the familiarization of the new
Rapattoni MLS system via "Tips &
Tools" segments. "Tips & Tools" segments
will be sent to members via email and will also be posted
on the Cape Cod & Islands Association of REALTORS®,
Inc. website (
http://www.cciaor.com/rapmls.htm). Below, please
find a preliminary "FACT SHEET" for your review. Please
take a moment to read this important information and remember
to register for upcoming training sessions.
FACT SHEET
Conversion Preparations (Internet Access and Timeline
Details):
Internet Access: Participants that can access
the current MLS system (InternetMLS) will have
no difficulty accessing the new Rapattoni MLS
system. Please note that similar to the InternetMLS
system, Rapattoni MLS is an Internet based
MLS system in which Internet Explorer 5.5 or higher is
still required.
Conversion Timeline Details:
- July 1 - July 12, 2004: "Data Tracking
Period" begins. Effective July 1st, MLS Participants
will continue to access the current, InternetMLS
system, however each MLS Participant must keep track
of all listings added and keep detailed record of
all changes made to any listings so that MLS Participants
may then properly re-enter this data into the new
Rapattoni MLS system beginning 7/12/04.
- July 12, 2004: Rapattoni MLS
goes "Live"; new system rollout. Please note
that the new Rapattoni MLS system will
include existing MLS data history through 6/30/04
only. Effective July 12th, MLS Participants will begin
re-entry of all data additions and data changes made
during the period of 7/1/04 -7/12/04 (reference "Data
Tracking Period" above).
- July 12, 2004 - InternetMLS
(old system) goes to "Read Only" mode. No new
listings or changes may be entered (i.e. all data
must be entered into Rapattoni MLS).
Note: Through July 31, 2004, the InternetMLS
data (old system) may continue to be viewed and searches
may be performed.
- August 31, 2004 - InternetMLS
(old system) is terminated. MLS Participants will
no longer have any access to the system.
*IMPORTANT* Between 7/1/04 and 7/12/04, MLS participants
will continue to enter all new listings and changes
into InternetMLS, however, participants need
to keep record of any/all changes during this period.
MLS participants will then need to re-enter this data
in the first week of the new Rapattoni MLS system
rollout in order to completely bring the new Rapattoni
MLS system to a current status. After 7/12/04,
InternetMLS (old system) will remain active
but in a 'READ ONLY' mode until the end of August,
8/31/04. This will allow MLS Participants to perform
searches, however note that this data will only be
current through 7/12/04.
Fee: CC&IMLS is pleased to advise that
the CC&IMLS service charge will remain at the
current rate. Quarterly billing will continue as is
currently.
Rapattoni MLS: The new Rapattoni MLS
system will offer participants all of the functions
that are currently available for performance in InternetMLS
(old system), along with enhanced features new to
CC&IMLS members. Listed below are some highlights
of the new features that Rapattoni MLS
will offer CC&IMLS participants:
- Expanded Search Capabilities:
- Search by Map - search by drawing a square
around an area on the map.
- Search by Radius - search within a designated
radius (ex. within 1 mile of subject property).
- Enhanced Search Capabilities - make searching
easier with "look-up" boxes, which enables
searching multiple field choices at one time.
Also enables searching multiple statuses,
each within a specific time period, simultaneously
(ex. "Active" from 6/1/03- 8/10/03 AND "Sold"
from 1/1/02-4/30/02).
- Expanded CMA Module - customizable CMA package,
add resume, create custom cover page, add or delete
values in your compilations, graph data, save
and attach to your prospect for CMA review at
a later date.
- Listing Cart - save listings in a cart for later
use.
- Ariel Photos - provide your buyer with an aerial
photo of the property or neighborhood, excellent
tool for waterfront prospects.
- Customize and Save Your Hotsheet - eliminate
the need to select parameters every time a hotsheet
is run.
- Custom Home Page - view market updates with
a single click. Market area may be the entire
MLS or a single town; each agent has the choice
to customize this option.
- View saved hotsheet results with a single
click
- Customized scheduler
- Personal listing inventory at a glance
- Automatic notification of listing due to
expire within 14 days
- Expanded Prospecting Module - view previously
sent emails, print customer labels for prospect
mailings, reverse prospecting, and automatic email
notifications to prospect clients.
- ID Sharing - allows agent's assistants to work
as that agent to manage customers and listings,
also used for team listing management.
- Office and Agent Smart Frame IDX-Broker Reciprocity
Solution for agent and office websites.
- Agent and Office Preferences- enhanced abilities
allow agents to customize the MLS experience,
by choosing report format defaults, searching
defaults, and map search defaults, and more.
- Attached Documents - Fax in a field card, plot
plan, deed, etc. and it attaches to the listing
for further reference.
- Public Record Labels - easy PDF formats.
- Public Records Auto Fill - when entering a new
listing, the agent will be able to look up the
property and have the system 'auto-fill' all public
record associated fields in the add listing feature.
- Custom Report Writer - more advanced custom
report allows agents to design report layouts.
- Customer Support - Toll Free Telephone, Email
or Fax for Help, customer support, Monday thru
Friday 9am-8pm. Also Searchable Online Help with
feature spotlights- video presentations of "how
to" for various functions.
- Caravan Function assist MLS Tour leaders organize
printable route with listing summaries, and map
tour routes for all agents.
- Personal Profile - agents can update their contact
information, email address, upload photo of themselves
to print on reports, offices can upload office
logos for listing sheets.
- Temporary Listings - save one or more new listings
and complete at a later date.
- Upload Photos - no more resizing photos, the
system automatically resize them.
- Commercial Module - the Commercial Module has
been rewritten to further assist Commercial Agents,
providing a more accurate picture of Commercial
Listings.
Forms: Data entry forms currently used for
the InternetMLS system can initially continue
to be used with the Rapattoni MLS system
(with the exception of the Commercial Property Type
form). Since new fields and field choices have been
added to the property types, and may not be included
on the existing forms, updated data entry forms will
be created and posted on www.cciaor.com
shortly after roll out.
Conversion Guide: As many of the guidelines
and field procedures concerning the MLS system will
change, a conversion guide will be posted online and
will include a helpful training packet. The conversion
guide will outline changes such as: Lot size accepted
in Sq. Ft. or Acres; Living Space is no longer a range;
13 photos per property allowed; text font formats;
time out inactive period has been extended; what is
"estimated selling date" field; new status "Pending
with Conditions"; how long are prospects active; "Hotsheet"
date limits; 3 way sorting; what are "source field"
and "comments" boxes, etc.
